C3RF Conference on Free Speech - Satellite Location Setup

This information is for Volunteer Organizers who are arranging events outside of the main conference in Toronto, September 10th, 2017.

PLEASE NOTE THERE WILL BE LIVE STREAMING OF THE FIRST 2 ½ HOURS FROM TORONTO,  FROM 1:00PM TO 3:30PM EASTERN STANDARD TIME. SET YOUR EVENT FOR LOCAL TIME IN ORDER TO CONNECT. TORONTO WILL CONTINUE WITH PANELS AND WORKSHOP OFFERINGS FROM APPROXIMATELY 3:45PM TO 5:00PM EST. LOCAL SATELLITE EVENTS ARE ENCOURAGED TO PRECEDE OR CONTINUE WITH LOCAL CONTENT/SPEAKERS.

TORONTO SITE: this information is going to be made available in advance to those who register online. Everyone attending is asked to register online, and print their ticket at home (or download to their mobile device.)

SATELLITE SITES: Information will be posted as it becomes available. Registration for confirmed venues will be available in advance online and tickets should be purchased and printed at home.

SITES CONFIRMED: Ottawa, Medicine Hat, Calgary, Fredericton, Moncton, and Halifax.  MORE WILL BE ADDED AS THEY ARE CONFIRMED.

SMALL, IN-HOME, ALTERNATE SITES: It is possible to arrange for a no cost event to your home or office by notifying… and having the required equipment (either a computer or a smart tv) set up. Live streaming will be made possible by  a secure provider who will identify the channel with which to connect, but each such hook up need register with name, email address and phone number at a website which will be posted shortly.

TICKET PRICES:  All venues are charging $15 for C3RF members, $20 for non members, $10 for students. In Toronto tickets are also $50 for reserved seating, $250 for sponsors who will be acknowledged in the program and have preferred seating.  Membership in C3RF is free, and available by subscribing online at https://canadiancitizens-mozuud.nationbuilder.com. Tickets are being given to the organizing and other volunteers. All MPs are being invited and will come as guests, if confirmed. Local organizers may wish to invite their local MP.

TICKETS MAY BE PURCHASED ONLINE AT https://bit.ly/m-103 AND ARE PROVIDED BY EVENTBRITE SERVICE.

 

PROGRAM:  The draft program will be posted shortly on the website and will be regularly updated as speakers or logistics are confirmed. Each satellite program organizer is invited to share details of their local program. Send info to info@canadiancitizens.org for posting.  FROM 1:00PM TO 3:30PM, THE MAIN PROGRAM WILL BE LIVE STREAMED FROM TORONTO. List of speakers for main event will be finalized and posted, but venue in Toronto will only be revealed to those who register, and pay in advance for security reasons.

VENUE BOOKINGS AND EXPENSES: Local organizer(s) need confirm their venue and may check details on equipment, signage,  security, program with David Nitkin at d.nitkin@canadiancitizens.org. Booking contracts are to be sent to Andria Spindel at andriaspindel509@gmail.com for approval but are to be signed by the local organizer once details are approved and confirmed. Ticket revenue by site will be returned to the organizer to pay for the venue expense. Additional local sponsor/donor revenue will  also be administered locally. THE MAIN EVENT COSTS MUST BE COVERED BY TICKET SALES AND DONATIONS/SPONSORSHIPS ARRANGED BY THE ORGANIZING COMMITTEE.

SETUP REQUIREMENTS:  Satellite locations require a screen, laptop, internet connection, projector and connection details.  Home viewing requires  a laptop, internet and cable connection and TV screen. An ipad or iphone that projects to the screen or an appropriate device to use your equipment.  Those hosting will need to know what they need to project to a screen if they are having a small group for a low cost event.

Low tech event doesn’t need more than a tv screen, computer, USB cable; instructions will be to go to a dedicated channel to hook in and live stream. A secure provider will direct the link to the individual person’s address.

There will be two scheduled dry runs with the technology to see that all satellite sites work in conjunction with TO event and one dry run with the speakers in advance, morning of the event.

EVENT COORDINATION, MATERIALS AND PROMOTION: Volunteers who book a venue, will be provided with draft materials for promotion, and instructions for hook up to live stream. Each will need to do a program plan to cover time after the speakers-this could be a local guest speaker, panel, discussion, small groups. Brochures/fact sheets will be provided for local printing and use before and during the event.  Material is being prepared in English, French, Polish, Arabic, and Chinese. An ACTION KIT will be available for distribution at all venues and it may form part of the discussion of next steps, if used in a workshop format.

MERCHANDISE: Various items including t-shirts will be made available for purchase online at reasonable rates, with about 30 % of the funds going back to C3RF to help defray Conference costs. All items purchased will be shipped within 2-3 days.

POST EVENT FOLLOW UP: The LIVE SESSION will be recorded and posted later on C3RF Facebook and website.

SECURITY:  The Toronto venue will have professional security services. If planning a high level event, do think about security. You need decide it might be necessary, for crowd control, for protest interruptions, for any special guest or speaker.

CO-SPONSORS: The are now 8 confirmed organizational/institutional sponsors, and it's growing.  These include ACT! For Canada, Hasbara Fellowships Canada, Israel Activist Alliance, Mozuud Freedom Foundation, Muslim-Jewish Dialogue, and Stop Sponsoring Hatred. Others are invited to join, add their name and logo, cross promote and participate.

GUEST ACCOMMODATION: There are no hotel arrangements at this point. If local organizers have out of town guests, they need make local arrangements but it is not anticipated that any should be at a cost, nor are speakers being paid.

MAJOR PROJECTS OF C3RF:  This conference, a written and video presentation to the Heritage Committee of Parliament tasked with studying discrimination, racism and Islamophobia, and possibly a set of videos on various aspects of the topic, stopping M-103 and preventing sharia law in Canada. 

The presentation will be sent to every elected member, not just those on the committee. It will also be sent to the media, at home and internationally. Watch the website for regular updates, for low and high end events and the TO event. As sites are secured, the cities will named and contacts info provided.
